Speak Up Integrity Hotline

The Abergeldie Speak Up Integrity Hotline is an independent and externally managed hotline provided by our integrity partners, Core Integrity. The Speak Up Integrity Hotline is for all employees, contractors, suppliers and volunteers to use to report any actual or suspected issues, wrongdoing or illegal conduct that may be occurring that is impacting you, your colleagues, our customers or the organisation itself. The team from Core Integrity are trained in dealing with complex and sensitive issues and all matters are treated in the strictest of confidence. Abergeldie acknowledges that at times, you may not feel comfortable speaking up via existing internal channels and that is why we have set up the Speak Up Integrity Hotline program to ensure you can choose the best method to speak up and report your concerns. 
 
Why speak up? 
 
Speaking up is the right thing to do. When you see or suspect that something isn’t quite right we encourage you to report it as soon as possible. By reporting any issues or concerns early you are providing Abergeldie the opportunity to review your report and take the appropriate action required. By speaking up early when something doesn’t seem right, you are not only protecting yourself  but you are also protecting your colleagues, our customers and the organisation itself.
 
When should you speak up?
 
We all know when we see something that doesn’t seem quite right. If you see or suspect wrongdoing, illegal or unethical conduct in the workplace we encourage you to report it as soon as possible. Our people are our greatest asset and this is especially true when it comes to reporting wrongdoing, misconduct or unethical conduct. We can’t take action on wrongdoing if we don’t know about it so we encourage you to report anything you see or hear that doesn’t seem right. 
 
How do I speak up? 
 
At Abergeldie, we have several ways in which you can speak up and report a concern. These include speaking to your Manager, approaching a member of the team or speaking directly to the People and Culture team. However, we do recognise that sometimes you may not feel comfortable with one of those options and that is why we created the Speak Up Integrity Hotline. Reports and concerns can be made online via our secure reporting platform, by telephone, email or traditional mail and should you wish, you can remain anonymous when making a report to the hotline. All reports are treated in the strictest of confidence and are referred to the appropriate area by the Core Integrity team for review and action as deemed appropriate.

Make a report online

Speaking up and making a report online is simple, safe and secure. Simply use the web link to access Core Integrity’s secure online platform where you can submit your report.

In making your report, you may choose to provide your name or choose to remain anonymous. Please note that sometimes anonymous reports can be more difficult to investigate. Should you wish to remain anonymous, we encourage you to use our secure online platform to ensure you can receive important updates and provide more information if required. All reports will be treated in the strictest of confidence.

The secure online platform enables you to enter your email address whilst still remaining anonymous. Your email address will be stored securely in the platform and neither the team at Core Integrity or Abergeldie will ever see it. At the conclusion of your report being assessed and reviewed, your email address will be automatically deleted.

Should you wish to make a report via phone, please call the number listed. One of the friendly Core Integrity team will be happy to speak with you, answer any questions you may have and importantly, take down details of your report. The team at Core Integrity are focused on ensuring that you are supported throughout the process of speaking up. We adopt a trauma informed approach where we spend time to put you at ease, listen and we encourage you to share as much or little as you feel comfortable with based on your personal situation.

Make a report via email

Should you wish to submit your report via email, please send it to the address listed. One of our friendly team will be in touch shortly. If you feel comfortable doing so, we encourage you to consider making your report via our secure online platform as this will make it easier for you to receive updates on your report, and to communicate securely with those who are reviewing and actioning your report. Please note that we treat all reports in the strictest confidence and all reports, regardless of how they are reported, are entered into our secure online reporting platform.

Make a report via mail

Whilst it is preferred that you submit your report via the secure online platform or via telephone, you can also submit a report via traditional mail. Simply post your letter to the address listed and mark to the attention of Abergeldie.

Please note that it may take a little longer for our team to receive and acknowledge your report should you send it via traditional mail. Additionally, submitting your report via traditional mail makes it more difficult for us to acknowledge your report and communicate with you.

The Speak Up Integrity Hotline is for all employees, contractors, suppliers (volunteers, players etc) to use to speak up and report any actual or suspected issue. It complements existing internal reporting channels and provides you with a safe, simple and secure way to speak up.
We believe that all of our employees play an important role in upholding our values. Central to that is empowering our people to speak up when they see or suspect something that isn’t quite right and that has the potential to impact them, one of their colleagues, our customers or the organisation as a whole. We are committed to fostering a safe speak up culture and supporting our people when they speak up. The Speak Up Integrity Hotline is a testament to that commitment and provides all of our people with another tool to use should they wish to raise a concern. The Speak Up program is designed to complement, and not replace, our existing internal channels for speaking up that include speaking to your Manager, one of the executive team or the People and Culture team.

No. The Speak Up Integrity Hotline (or Speak Up hotline) is an addition to the existing channels at Abergeldie for people to speak up. It does not replace our existing internal reporting mechanisms but it provides another option so that people can choose the best method to report concerns.

The Speak Up hotline is independently managed by a specialist service provider, Core Integrity and provides another way for people to speak up confidentially and anonymously.

The Speak Up Integrity Hotline enables you to speak up and report a wide range of concerns or issues. Common issues include fraud, theft, bribery and corruption, breaches of policy, conflicts of interest, bullying and harassment – to name a few. You should refer to Abergeldie’s Whistleblower Policy and any other policies that discuss conduct issues.

The Speak Up Integrity Hotline is independently managed by a specialist service provider, Core Integrity. The team from Core Integrity is trained in dealing with complex and sensitive disclosure issues. We recognise that, at times, people may not feel comfortable raising an issue in person or with those who they work with. The Speak Up Integrity Hotline provides you with a number of secure reporting channels and enables you to speak to a trained expert to raise an issue or concern early whilst having your confidentiality or identity (should you choose) protected.

Our Speak Up Integrity Hotline provides you with a number of channels to make a report such as secure online reporting form accessible via QR code and weblink, phone, email and traditional mail. You can choose the reporting channel that suits you best, based on the issue you wish to report. Regardless of what channel you use to make your report, all reports are treated in the strictest of confidence and are entered into our secure online reporting platform to provide. Our secure reporting platform provides you with the ability to engage in secure, two-way communications with those who are reviewing your report and provides so you can receive status updates and provide more information if required.
After the friendly team at Core Integrity finish taking down all of the details of your report, and assisting you in gaining access to your report via the secure online platform, they will prepare a detailed Summary Report. Both your online report and the detailed Summary Report will be referred to the appropriate person within the organisation for review, and where appropriate, further action. You are encouraged to retain your Report ID and password and to monitor progress of your report. Should you wish to follow up on the status of your report, ask a question or provide further information, you are encouraged to do this via the secure online reporting platform.

Depending on the information provided and the nature of the report, Abergeldie will then consider the most appropriate course of action. Every report is different, and not all reports require an investigation. Abergeldie will review the report in detail, consider the information and any other information that may be available in determining the most appropriate course of action. Abergeldie will follow any existing internal policies and procedures that exist in formulating their response to appropriately deal with, and resolve the matter.

Some times it may be deemed appropriate to commence an investigation. An investigation may be undertaken internally or may be outsourced to a suitably qualified and experienced investigator.

We may also use the information from reports to understand what are common themes, trends and issues occurring across the organisation and may use this information to support ongoing education and welfare initiatives for the benefit of our people.

All reports received by the Speak Up Integrity Hotline are treated in the strictest of confidence. Your identity, and the information you provide, will be treated in confidence and only shared with select people internally who are responsible for reviewing and receiving such matters. Importantly, your identity and the information you supply will only be shared with your consent.

If you wish to remain anonymous you may do so. Should you wish to remain anonymous, you are encouraged to make your report via the secure online platform and to monitor progress of your report.

In some circumstances either Core Integrity or Abergeldie may be required by law to share the details of your report, such as in mandatory reporting circumstances. In these circumstances you will be advised of such at the time of either making your report to Core Integrity or by a member of Abergeldie who has been assigned your report for further review and action.

If you don’t feel comfortable in providing your details and information in these circumstances, you should advise the Core Integrity team.

All reports received via the Speak Up Integrity Hotline are recorded in our secure online platform. Regardless of which channel you use to speak up, you will be given a unique Report ID and password that enables you to directly access your report at any time. You are encouraged to retain your Report ID and password to enable you to login and check on the status and progress of your report. Our secure online platform enables you to engage in secure, two-way communications with the Core Integrity team and those who have been assigned internally to your report. This secure two-way communication is perfect for asking questions, receiving updates and even providing more information in support of your report.
Sometimes people don’t feel comfortable speaking to their manager or to another internal department when reporting an issue or concern. The Speak Up Integrity Hotline provides an additional mechanism, external to the organisation, for people to speak up, to feel safe and to have their report and identity treated in confidence. If you don’t feel comfortable speaking up via your existing internal channels, then the Speak Up Integrity Hotline is for you. All reports are treated in the strictest confidence and can be kept anonymous if you want (see below for further detail).

Yes. The Speak Up Integrity Hotline allows for secure, anonymous two-way communications so you don’t have to provide your name and other details if you don’t feel comfortable doing so.
