Why speak up?

At NobleOak, values are steeped in a rich history with links dating back to the ancient Druids, guided by integrity and benevolence. NobleOak’s values are integral to the way things are done, acting with integrity and respecting each other.

NobleOak’s Code of Conduct sets out the expectations for workplace behaviour and encourages team members, suppliers, and others to speak up when they see something that doesn’t seem right.

You have three pathways to raise any concerns:

  1. An informal process where you might raise your concern with the person/s concerned or through someone you trust in the organisation e.g. Leadership, People and Culture or Risk teams;
  2. A formal process where your concern may be formally investigated; or
  3. By speaking up through the Core Integrity Whistleblower service.

Speaking up is the right thing to do and ensures you, your colleagues and third parties can enjoy a safe environment to work and visit.

Who is Core Integrity?

NobleOak has appointed Core Integrity, an independent and externally managed service, for you to speak up and report any actual or suspected issue, wrongdoing, or illegal activity that has the potential to impact you, your colleagues, our guests or our organisation.

This service is confidential and independently operated.

All reports are treated in the strictest of confidence and only referred by the Core Integrity team to an authorised person within NobleOak for review and action.

This service is available to all NobleOak employees, current and former, and third parties of NobleOak.

How to use Core Integrity’s Speak Up service

Reporting instances of misconduct or serious wrongdoing is a simple process.

We appreciate you making your report and recognise that this may be difficult for you.

Online

Raising a concern online is simple, safe, and secure. Simply use the link to access our secure online platform where you can submit your report.

You may choose to provide your name or remain anonymous. If you provide an email and choose to remain anonymous, it will be stored securely and neither the team at Core Integrity or NobleOak will ever see it. At the conclusion of your concern report being reviewed, your email address will be automatically deleted.

Please be aware that anonymous reports can sometimes be more difficult to investigate. Should you wish to remain anonymous, we encourage you to use the online option so you can receive important updates and provide additional information if requested.

We encourage you to consider raising your concern via this option as it will make it easier for you to receive updates, and to communicate securely with those who are reviewing and actioning your concern.

By Phone

Should you wish to raise a concern via phone, one of the friendly Core Integrity staff will be happy to speak with you, answer any questions you may have and importantly, take down details of your concern. Calls are not recorded.

If you hang up before your call can be answered or you do not leave a voicemail with your contact number, we will not attempt to call you back.

By Email

Should you wish to submit your concern via email, one of our friendly team will respond within 24 hours.

By Mail

You can submit your concern via traditional mail. Simply post your letter to the address listed and mark to the attention of NobleOak Speak Up.

If you chose to report this way, please provide as much detail about your concern as possible. Try to be specific about people involved, departments, locations, dates, times, and the nature of the matter.

Please note that this option may take a little longer for our team to receive and acknowledge your concern. Additionally, submitting your concern via traditional mail makes it more difficult for us to acknowledge your concern and communicate with you.

The Speak Up Integrity Hotline is for all employees, contractors, suppliers (volunteers, players, etc.) to use to speak up and report any actual or suspected issue. It complements existing internal reporting channels and provides you with a safe, simple and secure way to speak up.

We believe that all of our employees play an important role in upholding our values. Central to that is empowering our people to speak up when they see or suspect something that isn’t quite right and that has the potential to impact them, one of their colleagues, our customers or the organisation as a whole. We are committed to fostering a safe speak up culture and supporting our people when they speak up. The Speak Up Integrity Hotline is a testament to that commitment and provides all of our people with another tool to use should they wish to raise a concern. The Speak Up program is designed to complement, and not replace, our existing internal channels for speaking up that include speaking to your Manager, one of the executive team or the People and Culture team.

No. The Speak Up Integrity Hotline is an addition to existing channels for people to speak up. It does not replace our existing internal reporting mechanisms but it provides another option so that people can choose the best method to report concerns.

The Speak Up Integrity Hotline is independently managed by a specialist service provider, Core Integrity, and provides another way for people to speak up confidentially and anonymously.

The Speak Up Integrity Hotline enables you to speak up and report a wide range of concerns or issues. Common issues include fraud, theft, bribery and corruption, breaches of policy, conflicts of interest, bullying and harassment – to name a few. You should refer to our Whistleblower Policy and any other policies that discuss conduct issues.

The Speak Up Integrity Hotline is independently managed by a specialist service provider, Core Integrity. The team from Core Integrity is trained in dealing with complex and sensitive disclosure issues. We recognise that, at times, people may not feel comfortable raising an issue in person or with those who they work with. The Speak Up Integrity Hotline provides you with a number of secure reporting channels and enables you to speak to a trained expert to raise an issue or concern early whilst having your confidentiality or identity (should you choose) protected.

Our Speak Up Integrity Hotline provides you with a number of channels to make a report such as secure online reporting form accessible via QR code and weblink, phone, email and post. You can choose the reporting channel that suits you best, based on the issue you wish to report. Regardless of what channel you use to make your report, all reports are treated in the strictest of confidence and are entered into our secure online reporting platform to provide. Our secure reporting platform provides you with the ability to engage in secure, two-way communications with those who are reviewing your report and provides so you can receive status updates and provide more information if required.

After the friendly team at Core Integrity finish taking down all of the details of your report, and assisting you in gaining access to your report via the secure online platform, they will prepare a detailed Summary Report. Both your online report and the detailed Summary Report will be referred to the appropriate person within the organisation for review, and further action if appropriate. You are encouraged to retain your Report ID and password and to monitor the progress of your report. Should you wish to follow up on the status of your report, ask a question or provide further information, you are encouraged to do this via the secure online reporting platform.

We will decide the best course of action based on the provided information and the nature of the report. Not all reports require an investigation; we will carefully review each report and consider all available information to determine the appropriate response. Our actions will align with existing internal policies and procedures. In some cases, an investigation may be necessary, which can be conducted internally or outsourced to qualified investigators. Additionally, we analyse report data to identify common themes, trends, and issues within the organization. This information helps us develop ongoing education and welfare initiatives for our employees’ well-being.

All reports to the Speak Up Integrity Hotline are treated with the utmost confidentiality. Your identity and the information you provide will only be shared internally with authorised individuals responsible for reviewing such matters. Your identity and information will never be disclosed without your consent.

If you prefer to remain anonymous, you can submit your report through the secure online platform and track its progress. However, in certain cases, Core Integrity or your organisation may be legally obligated to share the details of your report, such as in mandatory reporting situations. If this occurs, you will be informed by a representative from either organisation. If you’re uncomfortable sharing your details and information under these circumstances, please inform the Core Integrity team.

Regardless of the reporting channel used, you will receive a unique Report ID and password to access your report anytime. We encourage you to keep your Report ID and password for monitoring the status and progress of your report. Our secure online platform facilitates secure, two-way communication between you, the Core Integrity team, and the assigned internal reviewers. This feature allows you to ask questions, receive updates, and provide additional information to support your report.

The Speak Up Integrity Hotline provides a safe and confidential external mechanism for speaking up; an alternative option for individuals who feel uncomfortable reporting issues or concerns to their manager or internal departments. All reports are treated confidentially, and remaining anonymous is an option if you prefer not to use existing internal channels.

Yes. The Core Integrity service uses the latest in secure, anonymous two-way communications so you don’t have to provide your name and other details if you don’t feel comfortable doing so.
